The external upload link enables external collaborators to upload assets for approval. Timesaving features like bulk upload and duplicate detection enhance efficiency and accuracy. We have recently moved our Asset Manager to a new software which offers some exciting features to enhance the user experience and facilitate the seamless upload of assets.

Bulk Management of Assets
With our Asset Manager, large batches of assets can be uploaded efficiently and duplicates detected automatically. Upload, move, delete, approve, and edit assets in volume to save time and organise effectively.
Approve and Authorise Assets Users can create approval and authorisation processes to ensure proper usage of assets. They have control over the authorisation levels for asset approval. External users who upload to Asset Manager will have their submissions sent for approval before they reach the asset library, ensuring the safety of assets coming from outside the organisation. Admins can also send assets back for resubmission if necessary.
Organise Assets Users can organise assets into folders and subfolders. They can control where the assets are stored and create an easy-to-navigate structure that allows other users to locate assets quickly. Admins can manage their own uploads separately and oversee the organisation of these assets. Access to specific folders can be controlled and limited, ensuring the protection of both internal and external assets and allowing users to only see what is necessary.
Comprehensive Search and AI Capabilities With advanced search and auto-tagging, users can find assets more efficiently. Use advanced search capabilities, such as saved searches and sophisticated filtering, to quickly locate assets. Auto-tagging helps automate the retrieval of asset data and attributes, speeding up both uploads and searches.
Asset Preview, Editing and Download Options Users can preview assets, including videos and PDFs, with detailed metadata displayed. They can resize, crop, and convert images with built-in tools to make assets compatible with the organisation's formats and requirements. Attributes can also be previewed and edited before approval.
Lightboxes Lightboxes act as a 'shopping basket' where users can add and manage assets of interest. This tool is designed to improve productivity by allowing users to return to assets later and perform tasks on multiple assets at once. Lightboxes can be shared with others while maintaining access permissions, enabling collaborative editing for team projects. A public URL can be generated to share the contents of the lightbox externally, so assets can be viewed or downloaded without logging in.
External Upload Links Contributors can upload assets without a registered account when provided with a unique upload link. Contributions remain hidden until reviewed and approved by an admin, after which metadata can be added. This feature is ideal for ad-hoc or one-time contributions from photographers or agencies.
